The High Commission of Barbados in Nairobi, which also serves as the Permanent Mission of Barbados to UNEP and UN-HABITAT and hosts the Middle East and Africa regional headquarters of Barbados Tourism Marketing Inc. (BTMI), is engaging an exceptional, execution-oriented professional on an independent contractor basis.
This is a heavy-duty engagement for a systems thinker who anticipates operational bottlenecks, triages competing priorities with minimal supervision, and delivers on-site at the Chancery.
THE OPPORTUNITY
We are engaging an exceptional, execution-oriented professional on an independent contractorbasis. This is a heavy-duty, high-responsibility engagement designed exclusively for an experienced professional with a well-developed sense of initiative who thrives under pressure with minimal supervision. We require a specialist who thinks in systems, anticipates operational bottlenecks before they occur, and takes personal ownership to triage competing priorities and see complex tasks through to completion. The services are delivered on-site at the Chancery, given the in-person nature of protocol liaison, event execution, and day-to-day operations.
SCOPE OF SERVICES AND DELIVERABLE WEIGHTINGS
Performance is measured against institutional outcomes. Weightings are resource-allocation planning guides, not prescribed shifts.
- Process diplomatic privileges, tax exemptions, and clearances through IPMIS.
- Liaise with government agencies to secure approvals and resolve protocol matters.
- Prepare, submit, and track official protocol documentation.
- Coordinate trade, investment, tourism, and cultural engagement initiatives.
- Support events, outreach campaigns, and strategic stakeholder engagement.
- Develop digital content that promotes Barbados' presence and interests.
- Manage the Mission's communications and escalate sensitive matters.
- Build and maintain relationships with government, business, media, and key stakeholders.
- Maintain an up-to-date stakeholder database.
- Coordinate official visits, conferences, and high-level delegations.
- Manage travel, accommodation, itineraries, and event logistics.
- Conduct research to support policy and diplomatic engagement.
- Track meeting outcomes and follow up on action items.
- Maintain efficient filing, records, and document management systems.
- Support records digitization and prepare briefing materials.
- Coordinate maintenance of Mission facilities and official residences.
- Monitor and report facility maintenance needs.
- Support internal operational procedures and administrative activities.
- Provide day-to-day operational support to Mission staff.
PROFILE OF THE IDEAL CANDIDATE
• Diplomatic Mission Experience: prior experience within a United Nations agency, international organisation, foreign mission, or related privileged institution is required; candidates who intimately understand diplomatic etiquette and diplomatic workflows will have an immediate edge.
• Systems Thinker and Exceptional Administrator: you do not just file paperwork; you build and optimise smooth administrative systems, look at the big picture, and understand how a delay in one department affects the entire operation.
• High Initiative and Self-Motivation: you are comfortable walking into a fluid, unpredictable environment and independently figuring out how to deliver results.
• Performance Under Pressure and Triage: proven ability to independently triage multiple competing emergencies under tight deadlines, separate noise from critical priorities, and solve complex problems calmly with zero hand-holding.
• Keen Relationship Skills: exceptional professional polish, emotional intelligence, and diplomatic etiquette, with the ability to leverage an established network of institutional counterparts and communicate assertively yet respectfully across cultural and bureaucratic structures.
ESSENTIAL QUALIFICATIONS
• A degree in International Relations, Public Administration, Business, Communications, or a related field, with no less than two years of experience in these functional areas; equal weight is given to a proven track record of high-stress operations, results delivery, and a rich network of institutional contacts
• Strong initiative and self-motivation, with the capacity to think in systems, build administrative workflows, and deliver with minimal supervision
•A relevant degree with no less than two years of experience in these functional areas
Excellent numeracy, verbal, and written communication skills
• Fluency in English and Kiswahili
• Ability to pass an intensive institutional security clearance prior to engagement and maintain it throughout, under a regime of random compliance checks
• Kenyan citizenship or valid work authorisation
