The selected candidate will be responsible for providing executive support in a one-on-one working relationship with the CEO, and overall to the executive team of Still I Rise. Further, the Executive Assistant will serve as the primary point of contact for internal and external constituencies on communications matters pertaining to the Office of the CEO and the Fundraising Department of the Organisation in support of the Still I Rise mission.
Essential Skills & Requirements
  • Bachelor's in Business Administration or related fields
  • Excellent computer knowledge and familiarity with Office operating systems, in particular Excel, along with Slacks; Google Drive, Mail, and Calendars features
  • Knowledge of resource management systems, archives and databases for information 
  • Excellent knowledge of the English language (B2/C1) both spoken and written
  • Working knowledge of the Italian language (B2/C1) both spoken and written
  • Excellent proactive skills
  • Outstanding time management and organizational skills 
  • Strong operational attitude, responsiveness, and propensity to achieve objectives
  • Ability to work independently, within pressure situations and with tight deadlines
  • Accuracy, attention to detail, with excellent management of responsibilities
  • Ability to work on several projects simultaneously, distinguishing priorities 
  • Ability to synthesize large amounts of information, communicating it clearly and effectively, both orally and in writing

  • Supervising and handling of communication inboxes as required, drafting and editing correspondence that is often sensitive and confidential, analyzing and reading incoming memos, submissions and distributing them as necessary, replying appropriately
  • Supporting Executives in the management of incoming queries
  • Research and prepare select reports and material
  • Perform other related duties as requested or responsibilities dictate
  • Ensuring that the Executive Team can work smoothly and meet set deadlines according to the organization's work objectives on a regular basis
  • Providing administrative support to high ranking executives like CEO, and members of the Executive Team
  • Scheduling and coordinating meetings, invitations, arranging appointments, managing the CEO and Executive Team’s schedules and calendars in a timely and appropriate manner
  • Confirm that attendees will be present and complete preparatory work, such as agendas and committee reports
  • Ensuring items and tasks are effectively delegated, reprioritized, or addressed, navigating conflicting demands and time pressure
  • Attend select meetings, take notes, capture action items, and ensure follow through.
  • Handle select matters expeditiously and proactively; follow-through to successful completion
  • Serving as a liaison to the Executive Team and other  Directors when required
  • Track CEO commitments, goals, projects, tasks and deadlines
  • Organizing and coordinating executive outreach and external relations efforts 
  • Make travel arrangements whenever necessary, providing relevant and technical support in coordination with the Finance, Planning and Control Director
  • Travel booking and handling of visa/passport procedures based on understanding of leadership's availability and obligations
  • Prepare and file important documents
  • Oversee the required administrative tasks and spearhead individual projects within the organization when requested
  • Anticipate and address problems with a strong proactive approach
  • Perform other ad hoc essential tasks as necessary
