The opportunity: We are seeking an exceptional, highly sophisticated, and execution-oriented self- starter to join our team on an independent consulting basis. This is a heavy-duty, high-responsibility role designed exclusively for an experienced professional with a well-developed sense of initiative who thrives under pressure with minimal super- vision.
Your performance will be measured against high-level institutional outcomes and deliverable weightings:
- Diplomatic Protocol and Government Navigation (25%): Process diplomatic privileges, tax exemptions, and clearances on the host government’s Integrated Protocol Management Information System (IPMIS). Actively engage with state agencies to unblock administrative bottlenecks and resolve stalled applications.
- Public Diplomacy, Trade Support and Storytelling (25%): Coordinate high-level trade shows, investment events, and cultural exhibitions. Design and execute a sophisticated digital storytelling and multimedia strategy across the Mission's public channels; produce compelling narrative-driven content, multimedia briefs, and public diplomacy campaigns that dynamically project Barbados' cultural, economic, and diplomatic presence across East and Southern Africa.
- VIP Transit, Conferences and Crisis Logistics (10%): Serve as the principal operational contact for incoming state delegations and official VIP visits. Manage comprehensive logistics around high-level conferences, including end-to-end delegate registration, delegation coordination, airport-to-venue transit workflows, complex flight and hotel bookings through travel agents, and the production of detailed itineraries under tight deadlines.
- Systems Document Management and Registry Operations (20%): Apply systemic organisation to the Mission’s file registry. Index all outgoing diplomatic correspondence and incoming third-party invoices to ensure they are perfectly structured and audit-ready for the permanent accounting function. Structure official briefing materials and coordinate the technical scheduling, room management, and documentation required to execute bilateral meetings.
- Relationship Management and Stakeholder Mapping (15%): Leverage an established professional network to clear institutional roadblocks. Maintain a comprehensive stakeholder intelligence map of regional political actors, business leaders, and media executives to optimise the Mission's strategic outreach.
- Facilities and Operations Support (5%): Overseeing Chancery property and facilities management, including physical building maintenance, utility systems, and asset tracking. Monitor Chancery supplier performance, enforce contract standards, and quickly resolve vendor disputes to prevent operational delays or financial loss to the Mission.
- Diplomatic Mission Experience (Required): Prior experience directly embedded within a United Nations agency, International Organisation, Foreign Mission or a related privileged institution is required. Candidates who intimately understand diplomatic etiquette, immunities, and diplomatic workflows will have an immediate edge.
- Systems Thinker and Exceptional Administrator: You do not just file paperwork; you build and optimise smooth administrative systems. You look at the big picture and understand how a delay in one department affects the entire operation.
- High Initiative and Self-Motivation: Possess an extremely high level of self-motivation. You are comfortable walking into a fluid, unpredictable environment and independently figuring out how to deliver results.
- Performance Under Pressure and Triage: Proven ability to independently triage multiple competing emergencies under tight deadlines, separate noise from critical priorities, and solve complex problems calmly with zero hand-holding.
- Keen Relationship Skills: Exceptional professional polish, emotional intelligence, and diplomatic etiquette. You must know how to leverage an established network of institutional counterparts and communicate assertively yet respectfully across different cultural and bureaucratic structures.
Bachelor’s degree in International Relations, Public Administration, Communications, or a related field. Equal weight will be given to a proven track record of handling high-stress operations, results delivery, and a rich network of local institutional contacts.
