We are looking for a Finance & Admin Manager that will run everyday office activities and supervise a team and ensure smooth operations covering finance and administrative areas in collaboration with other departments. Ultimately, you should be able to ensure our finance and administrative activities run smoothly on a daily and long-term basis.

A successful Finance & Admin Manager will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records.


Responsibilities

Ultimately, you should be able to ensure our finance and administrative activities run smoothly on a daily and long-term basis.

A successful Finance & Admin Manager will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records.


  • Prepare and follow up on invoices

  • Prepare management financial reports and presentations with statistical data

  • Basic bookkeeping and posting all business expenses and bank reconciliations on accounting software

  • Prepare Withholding Tax and VAT report and file on iTax Online e-services

  • Prepare monthly payroll and submit statutory deductions on time

  • Prepare weekly short-term debtors and creditors summary

  • Develop and monitor budgets and financial reports

  • Update and maintain office policies as needed and oversee implementation

  • Managing office stock and supplies

  • Organizing company documents and confidential information

  • Prepare contracts and renewals in a timely manner

  • File staff personal documents and organize for smooth on boarding of staff members

  • Update and maintain the company asset register

  • Maintain (electronic) company meeting calendars and schedule appointments

  • Distribute and store correspondence (e.g. letters, emails and packages) and stock taking

Qualifications

  • Degree in Finance, Accounting, Business Management; additional qualifications in Office Administration are a plus

  • Certified Accountant CPA (K) or equivalent qualification would be a plus

  • Proven work experience (minimum 5+ years) as a Management/Senior/Lead Accountant, Finance and Administrative Officer/Manager or a similar role

  • Experience with financial accounting software (e.g. Sage, QuickBooks, Tally)

  • Solid knowledge of office and (financial) accounting procedures

  • Experience with office management software (e.g. MS Excel and MS Word, specifically, MS PowerPoint, CRM)

  • Attention to detail, strong organization skills with a problem-solving attitude

  • Excellent written and verbal communication skills

  • If you have Affinity with software/automation systems (ERPs)

  • Affinity with agriculture and preferably living at proximity of the office
