The Executive Assistant (EA) role requires a deep sense of personal organization and support to the office of the Founder of Nendo Limited. The work will require covering the following key areas, as a strategic partner seconded to the Founder of the organization. As EA, your primary function will be providing reliable and focused support to company Founder & CEO, Mark Kaigwa, with all aspects of this organization and its day-to-day operations. You will be expected to show the highest discretion, including:
Managing, Reading, Responding, and Escalating Emails on the CEO’s behalf
Delivering Writing and Conducting Online Desk Research for Projects, Talks, and Meetings
Taking Calls and Managing the Flow & Follow up of Internal/External Communications
Scheduling, Planning, Prioritising, and Coordination
Administration (Office and Personal)

Types of jobs that you'll master using your magic EA powers include:
Managing the Founder’s email inbox and responding accordingly
Supporting with the Founder’s incoming calls and messages to triage for action, reply, response, and delegation
Managing the Founder’s calendar and priorities during the workday, week, and quarter to keep tabs on high-leverage tasks
Coordinating, managing, and compartmentalizing incoming communications
Coordinating internal or external networking events and retreats (including follow-ups - e.g., writing to business card contacts to get acquainted and initiate relationships or arranging a team-building retreat or an in-person working day together in Nairobi)
Travel scheduling and booking for the Founder or team
Scheduling meetings, events, and team strategy days
Researching and buying gifts for employees, suppliers, clients, and key stakeholders
Managing post and banking deposits
Coordinating administrative tasks including, but not limited to, tax filings, receipts, ensuring
expense reporting compliance, and review of documentation
Assisting the Founder with human resources and recruiting of key talent – engaging our
head-hunters, marketing our open positions, checking, and shortlisting potential candidates, and scheduling interviews or performance management conversations internally, among other
duties to be coordinated with our external HR consultant.
Other ways this work will manifest include:
Prepare project and team briefs using verbal instruction from the CEO
Synthesise information quickly and translate it to team from CEO or to CEO from team
Sit in on some meetings to keep notes on action items for/with Client Success Managers(acting as a ‘shadow client success manager’ from time to time)
Craft content for C-Suite external audiences like prospective clients, networks, and targeted organizations
Be available to support our CEO when he travels across time zones and works various hours
Help set the CEO up for success for speaking engagements, training, workshops, live-streamed events, and conference panel appearances with research, scheduling, and event coordination
Coordinate, schedule, and prioritize meetings and projects with company executives (one-on-ones and performance-related meetings)
Travel with the CEO to meetings and take notes (estimate the job will require travel 25% of the time, domestically and, if required, internationally. We are a fully remote team with less field travel than before, but it may grow in the future)
Be a true right hand, represent the CEO in meetings, and internal sessions, and learn the CEO’s decision-making approach. You will be required to understand the big picture and be able to give input and be a collaborator in the CEO’s absence
Making presentations (public speaking) on Nendo’s credentials or leading discovery
meetings or workshops in the CEO’s absence
Manage requests for speaking engagements, escalating to African Speakers and Artists when a qualified lead is identified
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Assist in maintaining an ever-changing calendar (with business and personal obligations)
Help manage the CEO’s personal appointments and his private affairs from time to time
Coordinate complex travel arrangements including scheduling COVID tests, transportation,
checking in online, seat/flight selection, and any changes related to the travel
Vet and prioritize the CEO’s emails and help manage the inbox
Provide support with scheduling and supporting the CEO with the publishing of his writing
content across social media, the Nendo newsletter, and other digital platforms
Prepare materials for meetings – researching meeting attendees (clients and prospects)
ahead of time and help the Founder be prepared for a meeting with the necessary context
Work with Design, Content, Data, and Client Services Team on projects as required
Occasionally assisting in personal errands
Working with Nendo’s nomads to help with any troubleshooting of key platforms
Some off-hour availability required
