As part of the Sydani team, the Program Associate
will serve as the internal project team lead, overseeing the development and
timely achievement of project deliverables and milestones and coordinating with
project manager to deliver project objectives.

As part of the Sydani team, the Program Associate
will serve as the internal project team lead, overseeing the development and
timely achievement of project deliverables and milestones and coordinating with
project manager to deliver project objectives.


The duties and responsibilities described below are not exhaustive. Additional tasks may be assigned as necessitated by business demands.

Business development

  • Research and identify business opportunities and potential clients.

  • Lead the development and submission of grant applications, and technical response to RFPs or expression of interest (EOIs)

  • Facilitate brainstorming sessions to pool ideas to crystallize client’s vision.

  • Develop networks and partnerships to promote an understanding of Sydani’s work and ensure the sustainability of Sydani operations.

  • Provide update to clients on project activities, progress, challenges, and recommendations.

Project Management

  • Planning

  • Lead the development of project strategy plans based on logical framework approaches.

  • Work with key stakeholders to define project goals, objectives, purpose, and scope.

  • Identify the requirements of each project and ensure project goals are achievable.

  • Coordinate the development of work tools i.e. workplan, trackers, templates.

ii. Execution

▪ Assign duties to team members and ensure that tasks are completed as scheduled and within budget.

▪ Maintain project timeframes, objectives, and communications.

▪ Collect the necessary information required to start and complete projects.

▪ Lead the analysis of project data and producing insights to optimize performance.

▪ Coordinate staff and internal resources to achieve project goals.

▪ Optimize and improve processes and the overall approach where necessary.

▪ Lead the design of strategic interventions, tools and processes to address project challenges.

▪ Lead the implementation of Sydani-funded projects, using rigorous and acceptable methodologies, data collection and analysis.

iii. Monitoring and Controlling

▪ Monitor the progress of a project.

▪ Manage the project’s budget.

▪ Ensure that key milestones are reached.

▪ Compare actual performance against planned/scheduled performance.

▪ Conduct project review and create detailed reports for executive staff.

▪ Act as the point of contact and communicate project status to all participants.

v. Close-out

▪ Work with the client to get formal sign-off that the project is complete.

▪ Create and manage documentation and reports for projects.

▪ Support the development and dissemination of key outputs such as program proposals, donor technical reports, etc.

▪ Ensure the review the work of third-party vendors or partners to close their contracts and pay their invoices.

▪ Archive project files for future reference and use

v. Capacity Building

  • Support with brand representation among staff and clients.

  • Ensure staff capacity development, and general leadership and oversight.

  • Participate in the routine organizational problem-solving sessions to share critical insights from the program with other members of the team.

  • Conduct periodic performance reviews and provide feedback to team members for performance improvement as applicable.

  • Contribute to the development of clients’ leadership and management skills to ensure sustainability of positive outcomes.

  • Build the capacity of the team on proposal development.

  • Develop staff capacity on knowledge management routines and work with senior management to achieve compliance by all staff.

vi. Research and Technical Writing

  • Create and develop written works (i.e., article and blog post) for external and internal communications.

  • Review and revise team materials to meet organizational standard.

  • Develop subject ideas, drawing on personal interest and project issues.

  • Develop and disseminate/publish research outputs and knowledge products, including manuscripts, policy briefs, white papers, research reports; etc.

  • Establish strategic relationships with other knowledge-based institutions to facilitate access to, and publication of emerging knowledge and innovations relevant to Sydani’s operations.
