Background

The GIZ (Deutsche Gesellschaft für Internationale Zusammenarbeit GmbH) is a German Federal enterprise that provides services worldwide in the field of international cooperation for sustainable development. GIZ has over 60 years of experience in a wide variety of areas, including economic development and employment, energy and the environment, agriculture, migration and peace and security. The German Federal Ministry for Economic Cooperation and
Development (BMZ) is our main commissioning party.

In collaboration with the Government of Kenya, the Deutsche Gesellschaft für Internationale
Zusammenarbeit (GIZ), commissioned by the German Federal Ministry for Economic
Cooperation and Development (BMZ), implements the "Promoting Employability and Entrepreneurship in Turkana West" (ProSEET) project. This initiative focused on Turkana West and Lokichoggio, aims to enhance socio-economic self-reliance of youth in a region marked by limited employment opportunities, especially for youth. The following three components of the project contribute to achieving this objective:

  • Improving conditions for socio-economic empowerment of youth in the refugee community and the host population

  • Enhancing access of youth to employment-generating skills

  • Improving access of youth to business-related services and support

The GIZ is seeking a dynamic, result-oriented and experienced professional to support project implementation through administrative support and who would support the achievement of these goals.


Responsibilities

A. Responsibilities


The administrative assistant will assume following responsibilities:


  • Timely and accurate management of project documentation and records.

  • Effective coordination of meetings, travel, workshops, and field activities.

  • Compliance with donor and GIZ administrative procedures.

  • Accurate inventory and asset management records.

  • Efficient office operations supporting uninterrupted project implementation.

  • Timely procurement and logistics support for project activities.


B. Main Tasks


I.
Administration & Office Management

  • Support project implementation in organization of events, field trips, etc.

  • Coordinate office maintenance, utilities, and service providers

  • Managing and monitoring all office consumables and supplies

  • Ensuring proper store management of project items

  • Maintaining all ITC equipment in liaison with the GIZ IT-Professional

  • In coordination with the backstopping unit in Nairobi, ensure filing financial administration
    documents in accordance with GIZ rules

  • Work on decreasing of all office running costs by close monitoring and supporting regular
    re-tendering of suppliers



II.
Logistics

  • Support the fleet management of the Kakuma Office incl. project movement plan

  • Support logistics planning for outreach activities and field operations.

  • Monitor fuel consumption for the office fleet and generator

  • Ensure compliance with GIZ transport and policy procedures



III.
Inventory Management

  • Maintain accurate inventory records for project assets, equipment, and supplies.

  • Monitor stock levels and initiate replenishment requests when necessary.

  • Conduct periodic inventory counts and reconcile inventory records.

  • Label and track project assets throughout their lifecycle.

  • Coordinate maintenance, servicing, and repair of project equipment.

  • Ensure proper documentation of asset transfers, disposals, and write-offs

  • Support disposal of obsolete or damaged items in accordance with organizational
    procedures and donor regulations.


C. Qualifications and Experience

  • Diploma in Business Administration or a related field.

  • At least 1 years of relevant experience in supporting project implementation or activities in the field of international development

  • Proven past experience as admin assistant

  • Experience working in Kakuma or similar humanitarian/development contexts is an asset.

  • Excellent facilitation and communication skills.

  • Attention to detail and ability to manage multiple tasks.

  • Excellent interpersonal and problem-solving skills.

  • Ability to work flexibly, independently, and under pressure.

  • Willingness to upskill as required by the tasks to be performed

  • Fluency in English and Kiswahili. Knowledge of Nga’turkana is an asset

  • Proficient in MS Office applications and data analysis software.
