As a Project Manager at JKUAT Enterprises Ltd, you will be pivotal in overseeing the planning, execution, and delivery of various projects within our organization. Responsibilities


As a Project Manager at JKUAT Enterprises Ltd, you will be pivotal in overseeing the planning, execution, and delivery of various projects within our organization. You will collaborate with cross-functional teams to ensure projects are completed on time, within budget, and in accordance with quality standards. The ideal candidate will possess strong leadership skills, exceptional organizational abilities, and a thorough understanding of project management principles and methodologies.




Project Initiation

• Evaluate open tenders and discuss with Head of Division on which tenders to bid for

• In liaison with Head of Division, designate a team for proposal development.

• Supervise and check the quality of the preparation and submission of project bids/tenders/EOIs/proposals.

• Assist in negotiations with client and consultant.

• Assist the HOD in ensuring the minimum set margins are achieved for each project.

• Drafting and/or reviewing of contracts for execution

Project Scope, Quality and Schedule Management

• Work closely with the Division Head to ensure Scope validation with the client and consultants to ensure that the project scope is well defined and understood, identifying, and documenting the project's objectives, deliverables, constraints, and assumptions.

• Scope verification by obtaining formal acceptance of the completed project deliverables from the client to ensure the deliverables meet the agreed-upon scope and requirements.

• Scope control by monitoring and controlling changes to project scope throughout the project lifecycle, evaluating proposed changes, determining their impact on project objectives, assessing feasibility, and obtaining approval from stakeholders before implementing changes.

• Defining project’s quality standards, specifications, and continuous monitoring to ensure that the project meets set quality.

• Prepare project workplan in liaison with project stakeholders and monitor project activities and milestones to ensure within set timelines.

• Work hand in hand with consultants to ensure milestone reports are generated and review the reports for quality assurance before submission to the client.

• Ensure efficiency in project teams and resolve any project-related disputes and conflicts with a view to protecting stakeholder interests and consistent project delivery.

• Ensure project contract terms and conditions are met both on the client and vendors end.


Communication Management


• Ensure smooth communication between all project stakeholders.

• Ensure clear communication channels are defined and followed.

• Ensure key information and documentations are available for all project stakeholders.

• Organize and arrange for project meetings.

• Foster positive relationships with stakeholders, addressing concerns and soliciting feedback to ensure alignment with project goals.

• Effectively manage expectations and resolve conflicts to maintain stakeholder satisfaction and support for project initiatives.


Resource and Cost Management


• Responsible for internal team management by allocating tasks, offering guidance, mentorship, conflict resolution, and overall performance management.

• Responsible for external team management by ensuring vendors'/consultants' needs are met, and good business relationships are maintained.

• Proper asset acquisition and management through raising requisitions on the purchasing and delivery of the Department’s required materials, tools, and equipment and ensuring proper utilization of personal and shared assets

• Predict the costs associated with the project's resources, activities, and deliverables and deliver a realistic project budget.

• Cost Control throughout the project lifecycle to ensure that costs remain within the approved budget by tracking expenses, identifying cost variances, analyzing the root causes of deviations, and taking corrective actions as necessary to bring costs back on track.

• Regular cost reporting to provide stakeholders with visibility into project expenditures, cost performance, and variances.

• Identifying opportunities for cost optimization to maximize value by identifying cost-saving opportunities, streamlining processes, improving efficiency, and leveraging economies of scale.

• Conducting a thorough review of project costs and performance to provide valuable insights for future projects.

• Resolve resource conflicts and address any issues that may impact project timelines or deliverables.


Stakeholder Collaboration and Management


• Assesses the needs, expectations, interests, and concerns of project stakeholders.

• Acts as a liaison between stakeholders and the project team, addressing concerns promptly and finding solutions to issues that arise.

• The project manager continuously engages with stakeholders to gather feedback, obtain approvals, and adapt to changing circumstances.

• proactively identify and mitigates stakeholder risks by building positive relationships, fostering collaboration, and addressing issues before they escalate.

Risk Management

• Work closely with the Head of Division in identifying potential risks that could impact the project's objectives.

• Develop risk mitigation strategies to reduce the likelihood or impact of identified risks.

• continuously monitor identified risks to assess their status and effectiveness of mitigation measures.


Qualifications:


1. Degree in Project Management, Business Management, or related field

2. Certification in Project Management is an added advantage

3. 5-Years experience with 3-years in Project Management

4. Problem-solving, business acumen, communication, leadership, and analytical skills

5. Strong planning organizing, and monitoring and evaluation skills.

6. Ability to influence all level of stakeholders internally and externally.

7. Ability to work collaboratively and foster a positive work environment.


Note:


The salary for this position is Kshs. 150,000 + commission upon confirmation.
