Overview
We are seeking a Benefits Specialist to provide daily administrative support for employee benefit programs, including enrollments, qualifying life events, payroll deductions, claims processing, and carrier communication. The ideal candidate is detail-oriented, analytical, and comfortable managing data, systems, and employee inquiries in a fast-paced environment.
Required Qualifications
- Advanced English proficiency (90% reading, writing, speaking).
- Minimum of 3 years of professional experience in administrative, customer service, payroll, or client support roles.
- Minimum of 2 years of experience in Benefits Administration (preferred).
- Strong proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint).
- Experience with HR or benefits systems such as ClientSpace or PrismHR (preferred).
- Experience with CRM workflows and high-accuracy data entry.
- Strong organizational skills, attention to detail, and follow-through.
- Ability to interpret written procedures and work independently.
- High frustration tolerance, adaptability, and professionalism.
- Educational background in Business Administration or Accounting (preferred).
Responsibilities
Responsibilities
- Provide daily support to employees by responding to benefit-related inquiries via email, phone, and task management systems.
- Monitor and respond to calls through the department’s Zoom phone queue.
- Prepare Open Enrollment (OE) workbooks and assist with all OE-related tasks and audits.
- Process life insurance, Short-Term Disability (STD), and Long-Term Disability (LTD) claims.
- Enter and update employee benefit enrollments, changes, and terminations accurately and in a timely manner.
- Ensure payroll deductions and employer contributions are correctly aligned with employee benefit elections.
- Resolve discrepancies in payroll deductions and calculate arrears when needed.
- Process qualifying life events (QLEs) according to plan guidelines and company policy.
- Conduct audits of benefit deductions and support compliance reviews.
- Communicate with benefit carriers to resolve coverage, enrollment, and claim-related issues.
- Process manual updates, ID card requests, and enrollment changes through carrier portals.
- Support benefit billing, reconciliation, COBRA, and retirement inquiries as needed.
- Generate reports from Prism and respond to payroll or benefit-related audit requests.
- Maintain accurate records, update databases, and assist with benefit-related projects.
- Meet defined KPIs, SLAs, and operational performance metrics.
- Support leadership with special projects and general administrative tasks.
