To portray a positive image of the Gym to both internal and
external clients over the telephone and in personal contact. To answer phone calls and emails, welcome visitors, and schedule
appointments. Actively
collaborate with sections and performs other administrative tasks to
ensure that the gym runs smoothly.

Key
Responsibilities

1)      Visitors’
management

·        
Respond quickly to walk in guests, welcoming them by greeting them and receiving their requests as the first contact / front line in receiving visitors, clients, and staff to the Gym.

·        
To answer phone calls, greet visitors and provide information to clients and staff.

·        
Provide accurate information to all visitors.

·        
Making sure that a list of all visitors/ clients who visit the Gym is prepared and passed over to
the supervisor the following day.

·        
Recording client’s attendance

·        
Offering direction to the clients

·        
Work closely and effectively with the supervisor to keep him well informed of any issue arising
at the Gym.

·        
Handling client’s complaints or questions about services or equipment.

·        
Following up appropriately for the issues taking place in the environment & within the
workplace and keeping the Director updated

·        
Managing client’s fitness appointments

·        
Filing and organizing the various documents and files of the Gym. 

 

2)     
Communication Management

 

·          
Timely answering to all incoming calls and passing them over to those responsible.

·          
Making outgoing calls as requested by the concerned while ensuring that there is no misuse of the telephone.

·          
Explaining Gym policies and procedures to new members and helping them get acquainted with the facility.

·          
Making announcements about events taking place at the gym or facility or about facility policies

·          
Provide accurate information to all callers.

·          
Promptly attend to client’s needs.

·          
Act as a liaison between the Director’s office and internal as well as external clients.

·          
Recording information as needed.

·          
Maintaining supply inventory.

 

3)  Marketing & Admission

 

·      Scheduling appointments with clients to start new membership or follow up on past
memberships.

·     
Updating the clients Data base on the system. Informing management on client’s expiry dates

·     
Assisting in the Gym Admissions to follow up on Admission enquiries when necessary.

 

4) Administrative Responsibilities

   
Preparing clients membership cards

·     
Maintaining membership records and processing
fees as directed by management.

·     
Filing of clients’s information/reports and
maintaining clients’ files.

·     
Updating member records with new contact
information and payment details

·     
Assisting with lost property by advising the
clients of all uncollected items on termly basis.

·     
Ensuring the cleanliness of the Gym Reception
and ensuring all visitors are warmly welcomed and dealt with promptly.

·     
Ensuring no idle workers are allowed at the
Gym area.

 

Any other duty that may be assigned to you by the
Management.
