Employment Type: Full-Time, On‑Site
Schedule: Monday–Sunday, 2 rotating days off
Advanced Relief Institute is seeking a Patient Access Specialist to join our growing team. In this role, you will be responsible for converting inbound and outbound patient inquiries into scheduled appointments, supporting our mission to deliver high‑quality, non‑surgical patient care. This is a performance-driven position requiring strong communication skills, attention to detail, and the ability to thrive in a fast-paced environment.
Required Experience & Skills
- Experience in healthcare scheduling, medical sales, or patient intake.
- Familiarity with CRM or lead management systems (LeadLoop preferred).
- Strong inbound and outbound phone communication skills.
- Experience with insurance verification.
- Basic understanding of HIPAA compliance.
- Comfortable working with KPIs, metrics, and conversion targets.
- Strong closing ability and confidence on the phone.
- High urgency and responsiveness.
- Excellent communication and active listening skills.
- Highly organized, detail-oriented, and patient‑focused.
- Ability to overcome objections and handle hesitation.
- Self‑motivated and results driven.
- Experience in pain management, regenerative medicine, or specialty medical practices.
- Experience handling digital advertising leads.
- Background in fast-paced, performance-driven environments.
- Strong objection-handling and consultative sales experience.
- Prior involvement in appointment conversion optimization.
Responsibilities
- Manage inbound and outbound leads via phone, text, email, chat, and digital campaigns.
- Respond quickly to all patient inquiries and conduct proactive follow-up on warm and cold leads.
- Convert leads into scheduled appointments using strong communication and closing skills.
- Update and manage all lead activity within the LeadLoop CRM.
- Accurately schedule new patient appointments.
- Perform insurance verification (commercial, Medicare, workers’ comp preferred).
- Document all interactions and follow-ups thoroughly.
- Handle missed calls, incomplete forms, and appointment reminders.
- Meet daily, weekly, and monthly performance metrics and conversion goals.
- Work closely with the marketing and clinical teams to improve lead-to-appointment results.
